This policy explains what personal data DocLearnings collects through this website, why we collect it, who we share it with and what you can ask us to do about it. It applies to this website and to the admissions process that follows from it.
Who we are
DocLearnings provides hospital-based clinical education programmes. For the purposes of Indian data protection law we are the entity that determines why and how your personal data is processed. What we collect
- Information you give us. Your name, email address, phone number, qualification, university, programme of interest, preferred training city and anything you write in a message field when you submit an enquiry, application or brochure request.
- Admissions documents. If your application proceeds, marksheets, degree and internship certificates, registration certificate and photo identification.
- Technical information. Standard server and analytics information such as IP address, browser type, pages viewed and referring page.
We do not ask for payment card details through this website, and you should never send them to us by email or through a form.
Why we use it
- To respond to your enquiry and to assess your eligibility for a programme.
- To process an application, allot a partner hospital and issue an offer.
- To contact you about admissions, programme updates and events, by phone, email, SMS or WhatsApp, where you have consented.
- To meet our record-keeping obligations and to resolve disputes.
- To improve this website and understand how it is used.
The legal basis
We process most of this data on the basis of the consent you give when you submit a form, and you can withdraw that consent at any time. Some processing is necessary to perform our agreement with you once you enrol, or to comply with a legal obligation.
Who we share it with
- Partner hospitals, where you have applied to or been allotted a programme at that hospital, so that they can carry out their own onboarding and supervision.
- Service providers who host this website, send our email and run our customer records, under contracts that restrict what they may do with your data.
- Regulators, auditors or courts, where the law requires it.
We do not sell your personal data, and we do not share it with third parties for their own marketing.
How long we keep it
Enquiry records are retained while your enquiry is active and for a reasonable period afterwards in case you return. Records relating to an enrolment, including academic and certification records, are kept for longer because we may need to verify your certificate to a future employer. If you would like your data deleted sooner, write to us and we will tell you what we can and cannot remove, and why.
Your rights
Subject to the limits in applicable law, you may ask us to give you a copy of the personal data we hold about you, correct data that is inaccurate or incomplete, delete data we no longer need, or stop sending you marketing communications. You may also withdraw a consent you previously gave. To exercise any of these, write to admissions@doclearnings.com. We will ask you to verify your identity before we act.
Cookies and analytics
This website uses cookies that are necessary for the site to function, and may use analytics cookies to understand traffic and improve the site. You can block or delete cookies through your browser settings, though some parts of the site may not work as intended if you do.
Security
We apply reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
Children
Our programmes are for graduates and this website is not directed at children. We do not knowingly collect personal data from anyone under 18.
Changes to this policy
If we change this policy we will update the date at the top of this page. Where a change materially affects how we use your data we will take reasonable steps to tell you.
Grievances
If you are unhappy with how we have handled your personal data, write to our grievance contact at admissions@doclearnings.com with the details. We will acknowledge your complaint and respond within the timelines applicable law requires. You also retain the right to complain to the relevant data protection authority.
